Short answer
Most businesses looking for a Xero reconciliation alternative do not need to replace Xero. Xero includes bank feeds, suggested matches, bank rules and, on higher plans, automatic reconciliation. The real choice is between using those features fully, adding a specialist matching step for difficult customer payments, or switching ledgers. DIGITAL EUR is pre-launch and is not accounting software.
Who this page is for
You use Xero, or are evaluating it, and reconciliation takes longer than it should. Perhaps customers pay several invoices with one transfer, references are missing, or month-end depends on one person who "knows" which payment is which. You want to know whether another product would solve it, and what the honest options are. This page compares approaches, not brand rankings, and uses Xero's own public pages as the description of what Xero does.
A disclosure first: DIGITAL EUR makes reconciliation software, so we have a commercial interest in this topic. Our product is not open yet. Today there is a free in-browser demo, the Reconciliation Lab, and nothing can be bought. We are not an accounting ledger, we have no Xero integration, and we do not suggest leaving Xero for us.
What does Xero's bank reconciliation do today?
This summary is based on Xero's own product page for Ireland, its pricing page and its help centre articles, read on 5 November 2026. Features and plan names differ by region, so check the page for your country.
| Feature | What Xero says it does | Plan availability stated by Xero (Ireland page) |
|---|---|---|
| Bank feeds | Transactions flow from connected bank accounts into Xero; if a bank cannot be connected, you can import data manually | Not tied to a plan on the pricing page |
| Reconcile bank transactions | Match statement lines with transactions in Xero | Included on Starter, Standard and Premium |
| Suggested matches | Uses your transaction history to suggest matches for recurring invoices and bills | Part of reconciliation |
| Bank rules | Treat groups of similar transactions the same way every time | Part of reconciliation |
| Cash coding / bulk reconcile | Reconcile many statement lines at once in a spreadsheet-style view | Standard and Premium ("bulk reconcile" excluded on Starter) |
| JAX automatic reconciliation | Reconciles using four methods: Rule, Match, Memory and Prediction; reconciles automatically only when highly confident, otherwise suggests a match and leaves the line for you | Standard and above; offered as a paid add-on on Starter |
| Statement import | Manual import when a bank cannot be connected; Xero's help centre has import guides for CSV, OFX, QFX and QuickBooks statement files | Help centre; not plan-specific |
| Multiple currencies | Use multiple currencies | Premium |
Xero describes "Prediction" as suggestions based on how other Xero users reconciled similar transactions, says you can switch JAX on or off for each bank account, and says that when JAX is in doubt it suggests a match but leaves the transaction for you to reconcile.
In other words, Xero already offers a mix of rule-based and learned automation, with a person reviewing anything the system is not confident about. Before looking for an alternative, check that your plan includes the features above and that bank rules are set up for recurring items.
Why do people look for an alternative?
The reasons we see discussed fall into a few groups. Each one points to a different fix, which is why "alternative" can mean very different products.
- Customer payments are hard to tell apart. Several open invoices of the same amount from the same customer, combined payments, partial payments and transfers without a reference are hard for any system, Xero included. This is a cash application problem, not a ledger problem.
- The bank cannot be connected. Where no feed is available, every statement must be imported by hand.
- Volume across many organisations. Accountants who reconcile many client files want one queue across clients.
- Explainability. Some teams want every match to carry written evidence, or want to avoid learned predictions for customer receipts.
- The ledger itself no longer fits. Pricing, local tax features, inventory or reporting needs push a business to another accounting platform.
Only the last reason calls for replacing Xero. The first four can usually be solved alongside it.
What kinds of alternative exist?
| Type of alternative | What it changes | When it makes sense | What it does not solve |
|---|---|---|---|
| Use Xero's features fully | Turn on rules, cash coding and, where available, JAX; clean up references | Most cases; lowest effort | Payments that carry no usable evidence |
| Improve the payment data | RF creditor references, the exact account-holder name on invoices, virtual IBANs or direct debit | Many unreferenced customer transfers | Legacy payments already received |
| Add a payment-matching tool before Xero | Decides which payment settles which invoice, with evidence, then hands results to the ledger | Many customer transfers, frequent combined or partial payments, multi-client work | The ledger's own reports and tax features |
| Use your payment provider's matching | For example, Stripe's bank transfer feature applies incoming funds to invoices automatically by reference, then by exact-amount combinations | Customers can be asked to pay into a provider-issued virtual IBAN | Payments made outside that provider |
| Switch accounting ledger | Replaces the whole bookkeeping system | The ledger no longer fits for reasons beyond reconciliation | Poor payment references, which follow you to any ledger |
Where does DIGITAL EUR fit, and where does it not?
We want to be precise, because "Xero alternative" can suggest something we are not.
What exists today (DEMO). A free Reconciliation Lab that runs in your browser. It reads an invoice CSV and a bank statement CSV (comma-separated, dot decimals, up to 2 MB or 20,000 rows), proposes which credit settles which invoice, and shows a score built from named reasons: invoice reference +65, exact amount +20, counterparty IBAN +10, counterparty name +5, minus 15 for a possible partial payment and minus 25 when the amount exceeds what is outstanding. It never creates a candidate from amount alone, marks ties as ambiguous, caps allocations at the outstanding amount, records approvals in an append-only log, and exports a formula-safe CSV. Nothing is stored and there are no accounts.
What is PLANNED. Accounts, stored data, camt.053 statement import and accountant export formats are planned, not available. There is no Xero connection today and none has been announced. An AI assistant is a research idea, not a feature.
What it is not. DIGITAL EUR is not an accounting ledger. It does not keep a chart of accounts, file VAT returns, produce financial statements, pay bills or hold money. It cannot replace Xero. At most, a future version would sit before your ledger: you decide which payments settle which invoices there, then record the result in Xero.
How does Xero compare with a pre-matching tool like DIGITAL EUR?
| Aspect | Xero (as described by Xero) | DIGITAL EUR (demo, 5 November 2026) |
|---|---|---|
| Product type | Full accounting software | Payment-to-invoice matching only; not a ledger |
| Availability | Live, paid plans | Free in-browser demo; accounts not open |
| Bank data in | Bank feeds; manual import of CSV, OFX, QFX, QuickBooks files | CSV upload only; camt.053 planned |
| Matching method | Rules, matches, memory and predictions from other users' behaviour | Fixed, published rules with point weights |
| Automatic posting | Yes, when JAX is highly confident (Standard plan and above) | Never; every allocation needs approval |
| Evidence per match | Xero shows which method produced a suggestion | Named reason codes and score for every candidate |
| Amount-only matching | Not specified on Xero's pages | Not allowed |
| Ties | Not specified on Xero's pages | Flagged as ambiguous |
| Audit trail | Within Xero's reconciliation history | Append-only decision log, exportable |
| Output | Reconciled ledger | CSV of approved allocations to import yourself |
| Multi-currency | Premium plan | Euro only |
| Regions and banks | Many, varying by country | Any bank whose CSV can be mapped |
The two are not substitutes. Xero is where the books live; DIGITAL EUR, when it launches, is intended as a careful decision step for euro customer receipts. If you have few customer payments, or they are well referenced, Xero alone is likely the simpler answer.
When to stay, add or switch
| Your situation | Likely best move | Why |
|---|---|---|
| Recurring bills and fees take most of the time | Stay with Xero; set up bank rules and cash coding | These are exactly what rules are for |
| You are on a plan without automatic reconciliation and volumes have grown | Check whether a higher Xero plan or add-on fits | Cheaper than introducing a second tool |
| Many customer transfers lack references | Fix invoice references first; consider virtual IBANs or direct debit | No tool can match evidence that does not exist |
| Frequent combined, partial or duplicate customer payments | Add a payment-matching step with approval before posting | Needs judgement and an evidence trail, not more automation |
| You reconcile many client organisations | Look at multi-client matching tools that export to Xero | One review queue saves switching between files |
| The ledger no longer fits your tax, inventory or reporting needs | Evaluate other accounting platforms | That is a ledger decision, not a reconciliation one |
| Your bank cannot be connected to Xero | Import camt.053 or CSV regularly; check which formats your bank offers | Regular imports beat month-end catch-up |
A worked example: preparing approvals before reconciling in Xero
A consultancy has 40 open invoices and receives 55 credits in October. Its bookkeeper wants Xero to do the posting but wants a reviewed list for the difficult customer payments first.
- Export from Xero the open invoices with number, contact, amount due and any reference. Export the October bank statement as CSV from online banking.
- Separate the easy lines. Bank charges, card settlements and recurring supplier refunds are left to Xero's bank rules.
- Run the customer credits through a matching step. Suppose 38 credits carry a full invoice number and the exact amount; they become suggestions with scores of 85 to 100. Nine carry only the customer's IBAN and name; they become lower-scoring suggestions to check. Five are ties between invoices of equal amount. Three have no evidence at all.
- Decide the exceptions. The bookkeeper resolves the five ties by asking the customers which period they paid, and leaves the three unexplained credits unresolved for investigation.
- Record the decisions. Each approval is logged with who approved it and when.
- Reconcile in Xero. With the approved list beside her, the bookkeeper matches each statement line to the invoice in Xero, using partial payment where needed, and records the unresolved credits in a suspense account with a note.
The numbers are illustrative, not measured. The point is the division of labour: rules handle the routine lines, a person decides the ambiguous ones with written evidence, and the ledger records the outcome.
What should you ask before adding any reconciliation tool to Xero?
- Does it connect to Xero, or will you import its output by hand? Which file or API does it use?
- Does it post to Xero automatically, or produce a list for approval?
- Does it ever match on amount alone, and how does it show ties?
- Which bank statement formats does it read, and does it keep the full remittance text?
- Where is the data stored, who can see it, and how is it deleted?
- What happens to a decision if the underlying invoice changes in Xero afterwards?
- Can you export the decision log for your audit file?
- What does it cost, and does that cost exceed upgrading your Xero plan?
What are the limits of this comparison?
- Xero's features change. We described Xero from its own public pages on 5 November 2026. Plan names, add-ons and regional availability vary; check your own plan.
- We have not tested Xero ourselves for this page. We report what Xero states, not measured performance.
- We quote no Xero prices. They differ by region, currency and promotion.
- DIGITAL EUR is pre-launch. Its features above describe the demo, which stores nothing. Planned features are labelled as planned.
- No accounting advice. How you record write-offs, suspense items and partial payments depends on your accountant and jurisdiction.
If the underlying problem is how customers pay, compare payment methods in Stripe vs SEPA bank transfer. About DIGITAL EUR names the company behind this site. For the matching method itself, read our SEPA reconciliation guide. For the broader question of how much to automate, see manual vs automated bank reconciliation. The reconciliation software page sets out what DIGITAL EUR will and will not do.
Frequently asked questions
Is there a better bank reconciliation tool than Xero?
It depends on the job. For keeping books and reconciling recurring transactions, Xero's built-in tools are designed for that. For matching difficult customer payments to invoices with written evidence, a specialist step can help. Switching ledgers rarely fixes poor payment references.
Can I reconcile Xero transactions in another tool?
You can prepare and approve matches elsewhere and then record them in Xero. Whether a tool can complete the reconciliation inside Xero automatically depends on the integration it offers; ask the vendor exactly what it writes to Xero.
Does Xero reconcile automatically?
According to Xero, its JAX assistant reconciles automatically on the Standard plan and above when it is highly confident, and otherwise suggests a match for you to review. You can switch it on or off for each bank account.
Is DIGITAL EUR a Xero alternative?
Not as accounting software. DIGITAL EUR is a pre-launch payment-to-invoice matching tool with a free demo. It does not keep books and has no Xero integration today.
Can I import a bank statement into Xero if my bank has no feed?
Yes. Xero's product page says you can import data manually if your bank cannot be connected, and its help centre has import guides for CSV, OFX, QFX and QuickBooks statement files.
What should I fix first if reconciliation is slow?
The payment data. Put an RF creditor reference or a clear invoice number on every invoice, print the exact account-holder name next to your IBAN, and ask regular customers to pay one invoice per transfer or list every invoice number.
